Privacy Policy

This policy explains how I handle personal data when you visit this website or contact me about my services. I keep it short and plain on purpose.

Who I am

I am Misaki Kobayashi, a sole trader (eenmanszaak) based in Den Haag, the Netherlands. I offer Japanese–English interpreting and consulting. I am the controller of the personal data described here.

What data I collect

  • Contact form: your name, email address, organisation (optional), the service you are interested in, languages, date or deadline, location, and your message.
  • Email correspondence: the messages you send me and my replies, including quotes and invoices.
  • Client documents: if we work together, you may send me documents by email so I can do the job.

I do not collect anything else. This website uses no cookies, no analytics, no tracking and no third-party scripts or fonts. The fonts are hosted on the site itself.

  • To reply to your enquiry and prepare a quote. Basis: taking steps at your request before entering into an agreement (Article 6(1)(b) GDPR).
  • To carry out an agreement, including handling client documents and invoicing. Basis: performance of the agreement (Article 6(1)(b) GDPR).
  • To keep financial records. Basis: legal obligation under Dutch tax law (Article 6(1)(c) GDPR).

I do not use your data for marketing, newsletters or automated decision-making, and I never sell it.

How long I keep it

  • Contact form submissions are emailed to me and are not stored on the website server. To block spam, the server keeps an anonymised (hashed) marker of your connection for at most one hour.
  • Email correspondence is kept for as long as needed for the job and for my records. If you asked for a quote but did not book, your emails are deleted after 6 months. Invoices and related records are kept for 7 years, as Dutch law requires.
  • Client documents are used only for the job and are not shared with anyone. My working files are deleted within 14 days after the job is finished. The emails you sent them with, including attachments, stay in my email as part of my records (see above). A non-disclosure agreement (NDA) is available on request.

Who processes your data

I use one service provider (processor) to run my website and email:

  • mijn.host hosts this website, handles the contact form and provides my email, all on servers in the Netherlands. When you are outside the EU, my emails reach you in your country.

I do not share your data with anyone else, unless the law requires it.

Security

I take reasonable technical and organisational measures to protect your data, such as encrypted connections (HTTPS) and limited access to my email account and devices. Please keep in mind that ordinary email is not fully secure. If your documents are very sensitive, contact me first and we can agree on a safer way to share them.

Your rights

Under the General Data Protection Regulation (GDPR, in Dutch: AVG) you have the right to:

  • access the data I hold about you;
  • have incorrect data corrected;
  • have your data deleted;
  • object to the use of your data;
  • receive your data in a portable format.

To use any of these rights, email me at info@misakikobayashi.com. I will respond within one month. If you are not happy with how I handle your data, you can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.

Cookies

None. This website does not set any cookies, so there is no cookie banner.

I may update this policy from time to time. The date at the top of this page shows when it was last changed. The latest version is always the one on this website.
